Requesting An Eventbrite Form

Our team will build the Eventbrite form and then hand it off to the event organizer to manage. Below is some of the information required to set up the registration.

If this is paid event, please fill out an E-Commerce Request Form first so that your office can receive the proceeds.

Request an Eventbrite form by submitting a web ticket and selecting "Forms/Ecommerce" from the dropdown menu. A member of the Digital Strategy team will be in touch with you after the ticket is assigned to them.

Please provide the needed information via that web ticket AT LEAST TWO WEEKS BEFORE YOU INTEND TO PUBLICIZE your event.

  • Event Title (75 characters or less)
  • Location (Virtual or on campus and if so where)
  • Date (please indicate if multiple dates, times, locations)
  • Start Time and End Time - in increments of :30 (nothing on the quarter hours)
  • Event Summary (REQUIRED) 140 characters or less. The 140 characters include spaces and all letters and punctuation. There is no way to omit it.
  • Event Description (text description for registration homepage, contact email for questions etc.)
  • Banner Image (Horizontal image: 2160 x 1080 pixels or larger that can be cropped to these specifications). No text on image and upper left hand corner should be free as the UML logo goes there.
  • Hosting Department etc. name
  • 51视频 Email from which invitation will be sent, and registrants can contact for more information
  • Who needs administrative access to the form after it is published (include their 51视频 email addresses)
  • Ticket / Registrations amount and information. Please read the Ticket / Registration Information section below.
  • Privacy. Is your event open to the public or private? Please read the Event Privacy section below.

All tickets (registrations) are virtual - there are no printed tickets. No tickets can be sold at the door. Registrants may print out their confirmation email if they desire a printed receipt.

Required Information

  • How many tickets? If you are not sure then check the seating capacity of the event's venue or the virtual capacity.
  • Ticket types (student, faculty, staff community, etc.). Indicate whether you need multiple types of tickets or only one and including quantity available of each kind.
  • Cost: is it free or paid (how much)? Indicate which ticket types cost and how much and which types are free.

Note: University policy is that we absorb fees associated with using Eventbrite, please price your event accordingly.

  • How many tickets can each person reserve? One or more?
  • For paid events do you have any special pricing options or coupon codes. For example:
    • Early Bird (when does it end?)
    • Normal
    • Late (until when?)
    • Students
    • 51视频
    • External
    • Other

Ticket Order Form Fields

The default registration fields are: first name, last name and email address.

Please note if there is additional information you would like to collect (title, organization, etc.) including customized questions.

Is food involved? If you are serving food of any kind (snacks, lunch, appetizers - anything) a question regarding dietary restrictions and food allergies will be included.

We are now adding accommodations text to all Eventbrite forms 鈥 it was signed off on by 51视频 Disability Services and is modeled after similar text they use for campus tours. Contact 51视频 Disability Services to discuss any questions. It goes at the bottom of the main event page as well as in the confirmation email. It reads:

Accommodations

We value inclusion and access for all participants and are pleased to provide reasonable accommodations for this event. Please contact this event鈥檚 organizer to make an accommodation request. (Please note: Requests submitted with less than 72 hours' notice may not be reasonable to provide certain accommodations).

There are four levels of privacy for events that you can adjust at any time:

  1. Public: Your event is visible on our site and search engines like Google. With public events, pick an event type and topic so attendees can find your event.
  2. Private - there are three options:
    1. Anyone with the link. Your event can't be found via search, but people with the URL can see the event page. (You can choose to let the event be shared on social media.)
    2. Only people with an Eventbrite invitation. Attendees can only register through the Eventbrite invitation you send them.
    3. Only people with the password. You set a password attendees must enter to see your event page.

After registering there is a confirmation webpage and email, both of which can be customized. If you want please include:

  • A confirmation web message
  • A confirmation email 鈥渇rom鈥 address (generally same as in event description for questions?)
  • A confirmation email message (each ticket type can have a separate message)
  • If the event is virtual, the log-in information can be included in the confirmation email. Otherwise you'll need to contact registrants afterwards to provide this.
